How to Video Walk-Through 

Talking to LLMs about your brand can sometimes feel like talking to a drunk grandparent at a wedding: unreliable, exaggerated, and full of stories that change every time you ask. One minute your brand is a rising star, the next it’s completely forgotten. It’s chaotic, and you’d be forgiven for thinking: how can I possibly use these insights to make serious decisions? But here’s the thing – just like that grandparent, the wisdom is in there. You just need the right way to listen.

Hello and welcome to this tutorial on using the AI tracking feature inside WAIKAY.
In this video we’ll show you step-by-step how to set up AI tracking to monitor your brand’s visibility across popular AI models.

We’ll continue using clickup.com as an example and walk you through the process inside an existing project.
Let’s start by opening the project we’ve already created for clickup.com.

In the left-hand menu click on Tracking to access the AI tracking feature.
The first thing we need to do is to create a tracking prompt.
Click on Create a Prompt.
Here you can either manually enter a prompt or click Get Prompt Suggestions to let WAIKAY suggest prompts that are relevant to your brand.

For this example, let’s click on Get Prompt Suggestions and wait a few seconds while the suggestions load.
Now click on Select Prompt to see the suggested prompts.
We have a variety of prompts related to what ClickUp offers, including project management, task management system, team collaboration suite among others.
For this tutorial we’ll choose the prompt: “What are the best all-in-one project management tools that include task management, chat and document collaboration?”

Next, you can choose the LLM models where you’d like to track your brand’s visibility.
Select all four available models: Gemini, ChatGPT, Sonar and Claude.
Select your tracking frequency — every two days or daily. We’ll select every two days.
Finally click on Add Prompt.

Once you’ve added a prompt you’ll be redirected to your AI visibility dashboard.
At first you may only see limited data. Over the next few days your dashboard will fill with valuable insights.

Example dashboard for ClickUp after several days of tracking:

  • View data for all prompts or focus on one.

  • Select the prompt: “What are the top collaboration tools that include chats, document sharing and whiteboard features” and click Update Results.

  • Graph shows brand’s average visibility percentage for this prompt across each AI model.
    E.g., ClickUp has 5.8% in Gemini and 14.2% in Sonar.

Visibility % means how often your brand is mentioned relative to others.
If ClickUp has 14.2% visibility, it appears in ~14 mentions per 100 responses.

Visibility Trends section shows how visibility evolves over time based on tracking frequency.
View trends across all AI models or focus on a single one (e.g., Gemini).

Industry Ranking section shows top brands for the selected prompt:

  • Miro: 15% visibility

  • Microsoft Teams: 12% visibility

  • ClickUp: 11% visibility

Brand Topic Analysis section shows a heatmap of topics AI models associate with each brand.
Example:

  • Microsoft Teams → collaboration (15 cites), teams (19), platform (13)

  • ClickUp → collaboration (15), whiteboard (20)

Sources section lists websites and pages cited by AI models for the prompt.
Example: The Digital Project Manager has URLs cited 9 times.
Pages include:

  • Best collaboration software (1 cite)

  • Real-time collaboration tools (8 cites)
